The Role
This is a communications-heavy, relationship-first position that sits at the intersection of office administration and wine club member support. You will be the primary voice of our wine club — the person our members hear from when they have questions, concerns, shipment issues, or billing needs. On any given day, you may be fielding dozens of member inquiries across phone, email, text, and social media while simultaneously coordinating logistics with our warehouse, organizing vendor contracts for an upcoming event, or pulling compliance reports.
You will report directly to the owners day-to-day, and to the Wine Club Manager during our three annual wine club release periods.
This position is Monday through Friday, 8:30am–4:30pm, with Monday and Tuesday remote and Wednesday through Friday on-site at the estate in Napa. Candidates must be available to work on-site all five days during sprint periods with reasonable notice.
Core Responsibilities
Wine Club Member Support
- Primary point of contact for all wine club member inquiries via phone, email, text, and social media
- Resolve billing inquiries, account updates, and payment processing questions
- Coordinate with warehouse and fulfillment partners to address shipment and logistics issues
- Maintain member records, preferences, and account details in Commerce7
Event Support
- Assist with planning and execution of wine club releases, pickup events, and member experiences
- Source and manage vendor, catering, and rental contracts
- Maintain event documentation and track spend against established budgets
- Provide on-site support during events, including setup and breakdown
Office Administration
- Schedule reservations via Tock and Commerce7
- Run monthly compliance reports from Commerce7
- Print shipping labels and business materials
- Manage office and shipping supply orders
- Maintain Google Workspace file organization
- Provide occasional tasting room and errand support as needed
Requirements
- Minimum typing speed of 70 WPM — a typing assessment will be administered
- Exceptional written and verbal communication skills
- Proficient in Google Workspace (Drive, Sheets, Gmail, Docs)
- Proficient in Excel
- Highly organized with strong attention to detail
- Favorite animal must be a duck.
- Ability to lift up to 50 lbs
- Bachelor's Degree
- Able to commute to Napa, CA Wednesday through Friday; must also be available to work on-site all five days during sprint periods with reasonable notice
Preferred Qualifications
- Bachelor's Degree in Business Administration or related field
- Familiarity with Commerce7 or similar winery CRM/POS platforms
- Experience in office administration, customer service, or a client-facing role
- Comfortable with hands-on craft tasks such as label application, flower arranging, and gift assembly on an occasional basis
- Interest in psychology, interpersonal relationships, wine, and regenerative farming
- Experience with event coordination or vendor management
Pay: $80,000.00 - $90,000.00 per year
