Position Summary
At Bricoleur Vineyards, events are an extension of our estate where wine, food, family, and community come together through thoughtful hospitality. The Internal Events Associate plays a key role in supporting the planning and execution of Bricoleur-hosted experiences, helping bring to life gatherings that feel welcoming, elevated, and uniquely connected to our gardens, culinary program, and wines.
This position supports the coordination and day-to-day logistics of internal programming including Wine Club events, Harvest Party, Bastille Day, Family Nights, Classes, and other estate experiences hosted directly by Bricoleur Vineyards. Reporting to the Events Manager, the Internal Events Associate works cross-functionally with Hospitality, Culinary, Marketing, Wine Club, and Operations teams to ensure events are thoughtfully organized and seamlessly executed.
As with most hospitality roles, this position requires flexibility, including evenings, weekends, holidays, and extended hours during peak seasons.
Essential ResponsibilitiesEstate Event Planning & Execution
- Support the planning and execution of all Bricoleur Vineyards internal events from concept through day-of execution.
- Assist in preparing timelines, layouts, run-of-show documents, and logistical plans that support a smooth and elevated guest experience.
- Help oversee day-of setup, execution, and breakdown while maintaining Bricoleur’s standards of approachable luxury and thoughtful presentation.
- Ensure event flow aligns with the rhythm of the estate and daily winery operations.
Cross-Department Collaboration
- Work closely with Tasting Room, Culinary, Marketing, Wine Club, Operations, and Management teams to support event success.
- Assist in coordinating staffing considerations alongside the Tasting Room Manager.
- Collaborate with Culinary leadership on menu timing, service flow, and event logistics.
- Partner with Marketing on timelines, storytelling elements, and guest communications when applicable.
- Help maintain the master property calendar, ensuring accurate scheduling of spaces, meetings, and experiences.
Administrative & Operational Support
- Prepare internal event documents including timelines, layouts, checklists, and planning materials.
- Maintain organized records of events, guest feedback, and areas for continued improvement.
- Support operational efficiencies by identifying opportunities to refine processes and workflows.
- Assist with responding to inbound event inquiries through the general inbox.
External Event Support (As Needed)
- Provide support to the Events Manager on select external/private events when required.
- Assist with planning logistics, site visits, and day-of coordination for smaller celebrations such as baby showers, birthdays, and intimate gatherings.
- Support preparation of quotes, contracts, and event details as assigned.
Guest & Team Experience
- Approach every interaction with warmth, professionalism, and a genuine spirit of hospitality.
- Help create an environment where guests feel welcomed, celebrated, and connected to the Bricoleur experience.
- Anticipate needs, adapt quickly, and support the team wherever necessary to ensure a successful event.
Skills & Qualifications
- Passion for hospitality, food, wine, and creating meaningful guest experiences.
- 1–2 years of hospitality or event support experience is preferred, but not required.
- Strong organizational skills with attention to detail.
- Excellent written and verbal communication abilities.
- Ability to multitask and remain calm in a fast-paced environment.
- Flexible schedule, including evenings, weekends, and holidays.
- Proficiency in Microsoft Word, Excel, and Google Docs; Adobe experience a plus.
- Collaborative mindset with a willingness to support cross-departmental teams.
- Proactive, solutions-oriented approach with strong follow-through.
Physical & Schedule Requirements
- Ability to lift up to 40 lbs and stand for extended periods.
- Comfortable working both indoors and outdoors in a vineyard setting.
- Availability for evenings, weekends, and holiday events as required.
