JOB TITLE: Hospitality and Retail Coordinator

JOB SUMMARY:
The Hospitality and Retail Coordinator is vital in ensuring the smooth operations of Bundschu Co.’s retail and hospitality functions. This position supports inventory management, supply purchasing, merchandising strategy, and accounts payable processes while collaborating closely with the retail team to enhance the customer experience at both Gundlach Bundschu Winery and Abbot's Passage Winery and Mercantile. The ideal candidate is detail-oriented, organized, and skilled at multitasking in a dynamic environment.
DUTIES AND RESPONSIBILITIES:
Retail Operational Support:
- Lead the monthly inventory process for both wine and merchandise, ensuring accuracy and efficiency.
- Oversee supply ordering for retail, facilities, and events departments to maintain operational readiness.
- Assist with tasting room (TR) opening duties, including cash register preparation.
- Coordinate weekly wine orders with TR Managers and the Warehouse team.
- Perform additional duties as assigned by management to support retail operations.
Merchandising Strategy Implementation:
- Write, place, and track purchase orders; receive and process orders in the AMS system.
- Print and assist in tagging merchandise to ensure accurate inventory.
- Build and maintain positive relationships with vendors, negotiating terms to support business goals.
- Monitor and maintain appropriate inventory levels based on sales trends and seasonal demand.
- Support TR staff by replenishing merchandise across selling areas to ensure a full assortment of products.
- Adhere to aesthetic guidelines to create attractive and effective product displays.
Culinary Support:
- Place weekly reorders for culinary items based on sales trends and par levels.
- Receive, tag, and scan invoices for food products.
- Reset and restock displays as needed to maintain visual appeal and product availability.
Accounts Payable and Tasting Room Liaison:
- Support Customers with Club pickups, tasting room purchases, and concierge backup support.
- Submit and code invoices regularly to ensure timely payments and accurate financial reporting.
- Follow accounting best practices to align receivables and invoices.
- Meet regularly with Retail Team Leaders to discuss merchandise needs, department performance, and strategies for improvement.
AUTHORITIES:
The Hospitality and Retail Coordinator is authorized to:
- Make purchasing decisions within budgetary guidelines for merchandise and supplies.
- Negotiate terms and pricing with vendors, subject to management approval for significant agreements.
- Direct inventory management activities and implement merchandising strategies as outlined by leadership.
- Coordinate with team leaders to address operational needs and resolve issues in a timely manner.
QUALIFICATIONS:
- Bachelor’s degree in business, economics, marketing, or a related field preferred.
- Previous experience in the merchandising or retail industry is a plus.
- Excellent interpersonal, communication, and negotiation skills.
- Strong analytical and organizational skills, with the ability to multitask effectively under pressure.
- Familiarity with AMS merchandising software is a plus.
- Proficiency in Microsoft Office Suite.
- Ability to work weekends.
PHYSICAL/MENTAL REQUIREMENTS:
- Must be able to lift up to 50 lbs.
- Position requires prolonged standing, bending, stooping, twisting, and lifting products and supplies weighing up to 45 lbs.
- Repetitive hand and wrist motion required for certain tasks.
- Ability to travel between facilities as needed.
Compensation details: 25-27 Hourly Wage
