Position Summary
We are seeking a highly organized, detail-oriented Accounting Assistant to support accounting operations within the wine and alcohol industry. This position will assist with accounts payable, accounts receivable, invoices, reconciliations, compliance activities, liquor licensing documentation, and month-end and year-end close processes. The ideal candidate is proactive, analytical, reliable, and able to manage multiple priorities while maintaining accuracy and confidentiality. A strong appreciation for the wine industry and a willingness to continue learning about winery operations, regulations, and compliance requirements are essential.
Essential Duties and Responsibilities
• Assist with invoicing across various sales channels, ensuring accuracy and timely processing.
• Prepare and file sales tax and CRV reporting.
• Maintain and update accounting records and assist with entries related to:
o Accounts payable (AP)
o Accounts receivable (AR)
o Bank deposits and reconciliations
• Support month-end and year-end close activities, including:
o Journal entries
o Account reconciliations
o Inventory reporting and close-out responsibilities
o Bulk wine costing
• Assist with vendor invoice processing, including:
o Reviewing invoices for accuracy
o Ensuring proper coding and consistency
o Supporting timely vendor payments
• Process employee travel and expense requests.
• Process credit card sales receipts and assist with:
o Credit card statement reconciliation
o Cash reconciliation
• Monitor grape weighmaster certificates and grower case activity to assist with contract compliance.
• Prepare accounting reports and documentation as needed.
• Maintain and organize liquor license records and assist with filings and renewals.
• Serve as a compliance liaison by supporting operational and regulatory requirements.
• Handle confidential financial and company information with discretion and professionalism.
• Provide administrative and accounting support to the Finance/Accounting team as needed.
Qualifications
• 2–4 years of related accounting experience or training preferred.
• Experience in the wine/alcohol industry preferred.
• Associate degree in accounting, business, or related field preferred.
• Proficiency with Microsoft Office Suite, including strong Excel skills.
• QuickBooks Desktop proficiency required.
• Ability to maintain confidential information with tact and discretion.
• Must be able to work in an office environment; this is not a remote position.
• Basic knowledge and appreciation of the alcohol industry and winery operations, with dedication to ongoing education and learning.
• CPA is a plus but not required
