Position Summary
The Winery Events Coordinator is responsible for planning, promoting, lead generation, booking and the execution of private winery events across a four winery portfolio and will assist with planning and execution of public winery events. This role delivers exceptional guest experiences while coordinating logistics, vendors, and internal teams to ensure seamless, memorable, and profitable events.
Key Responsibilities
Sales & Business Development
- Develop and execute event sales strategies to meet or exceed revenue goals through attending bridal shows, networking events, and expos
- Identify, attract, and build relationships with event clients, including weddings, corporate groups, conferences, and private gatherings
- Lead the sales process from inquiry through proposal development and coordination of contracts
- Cultivate repeat business, referrals, and long-term client relationships
Event Planning & Coordination
- Plan and execute private events including weddings, receptions, corporate events, and private parties
- Plan and support public winery events such as tastings, festivals, tours, and special promotions
- Create and manage event timelines, floor plans, logistics, staffing needs, rentals
- Lead and actively manage all phases of events, including setup, execution, breakdown, and site restoration
- Coordinate with internal departments (events, marketing, winery leadership) and external vendors (caterers, musicians, florists, rental companies)
- Maintain the master events calendar and assist with budget tracking to ensure profitability and ROI
Guest & Client Experience
- Serve as the primary point of contact for clients throughout the planning and event process
- Ensure events reflect each client’s vision while upholding winery brand standards and hospitality excellence
- Lead service quality during on-sight events and resolve issues quickly and professionally
- Provide guests with information about winery offerings, tours, tastings, and future events
- Implement creative, personalized touches to enhance guest satisfaction and loyalty
Marketing & Promotion Support
- Collaborate with the marketing team on event promotion across social media, email, and local channels
- Assist with content creation such as; wedding & private event portfolio, brochures, packets, simple graphics, posts, reels, and stories when applicable
- Ensure events effectively showcase wines, facilities, and scenic winery settings
- Actively engage in networking events & expos for client recruitment
Compliance & Coordination
- Ensure events comply with local laws, safety standards, and liquor licensing requirements by collaborating with Director of Operations and team support
- Collaborate with leadership on budgets, contracts, staffing needs, and operational planning
Qualifications & Experience & Skills
Experience
- Minimum 2 years of wedding and/or corporate event management experience
- Background in hospitality, venue coordination, or event planning
Communication
- Strong sales, customer service, organizational, and communication skills
- Ability to manage multiple events and deadlines in a fast-paced environment
- Excellent verbal, written skills for client and team correspondence
Leadership & Organization
- Comfort and confidence in collaborating event teams
- Strong problem-solving skills and attention to detail
- Requires a self‑driven individual who thrives working independently and enjoys engaging with others
Technical Skills
- Proficiency in MS Office, experience with CRM/POS, and event planning systems
- (e.g., Planning Pod, Party Planner, and Square)
- Cash handling and basic financial, budgeting and tracking experience
- Wine industry knowledge advantageous, not required
Work Schedule & Location
- This is an on-site position reporting to: Director of Operations
- Not eligible for remote or hybrid work
- Schedule includes weekends, evenings, and holidays as needed to support events
