Position Summary
The Booking & Events Coordinator manages client inquiries, event bookings, pre-event logistics, and overall planning. This client-facing role integrates sales, CRM, and event coordination to drive revenue, ensure client satisfaction, and support operations.
Key Responsibilities:
Sales & Booking
· Respond to event inquiries and hold client consultations.
· Schedule venue tours and present services.
· Prepare contracts, invoices, and proposals.
· Maintain Salesforce and event calendars accurately.
· Book leads and secure new business.
Planning & Coordination
· Guide clients through planning according to FWB standards.
· Upsell rentals, bar packages, and staffing.
· Keep detailed event files and generate documents.
· Coordinate with teams for smooth event execution.
Client Communication & Experience
· Provide prompt, ongoing communication and resolve issues.
· Serve as the client contact during setup and planning.
· Assist with day-of event execution.
Marketing & Documentation
· Collect media and testimonials for marketing.
· Contribute content and feedback to support marketing efforts.
Qualifications & Skills:
- Bachelor’s degree or equivalent experience in hospitality, events sales and execution
- Minimum of 3 years of experience in events, hospitality, or other customer service
- Excellent communication, interpersonal, and customer service skills.
- Strong analytical, organizational, and creative thinking skills.
- Proficiency with Microsoft Windows, CRM systems, Canva, and data analytics tools beneficial
Beneficial Skills:
- Experience in hospitality industry
- Experience with large scale banquets, catering package creation and presentation
- Knowledge of Salesforce CRM, All Seated, or having wedding industry experience
