Job Title: Administrative Coordinator
Location: Brooks Wine – Amity, Oregon
Schedule: Hourly, Full-Time, On-Site
About Us
At Brooks, wine is more than what’s in the glass—it’s about people, place, and purpose. From our biodynamic vineyards in Oregon’s Willamette Valley to the community we’ve built around the table, we believe great wine should be paired with connection, laughter, and a dash of curiosity.
We’re looking for an Administrative Coordinator who thrives on variety, loves keeping things organized, and enjoys being the go-to person who helps everything click. If you’re happiest when every day looks a little different—answering a call one minute, packing up wine the next, then helping pull off a tasting event—you’ll fit right in.
What You’ll Do
Be the Hub of the Action
- Answer phones, emails, and guest questions with warmth (and maybe a touch of sparkle)
- Keep calendars, meetings, and reservations running smoothly
- Make sure files, records, and office essentials are tidy and up to date
- Jump in on wine club shipments, e-commerce orders, and the occasional winery errand
- Keep our shared spaces organized and humming along
Get Creative with Marketing & Events
- Organize release tastings and pull together tasting notes
- Coordinate wine submissions to critics, media, and event partners
- Keep our wine score spreadsheet current (because gold stars matter!)
- Update website listings and share events to bring more friends into our tasting room
- Partner with hospitality to coordinate rentals, permits, and compliance
- Pitch in on projects like photography or content updates (bonus if you have an eye for design!)
Support the Team
- Help welcome new hires and keep HR files buttoned up
- Manage OLCC and food handler certifications so everyone’s covered
- Assist with onboarding and team announcements
A Little Bit of Everything Else
- Update pricing and build SKUs in Commerce7
- Tackle the unexpected projects that pop up—because they always do, and that’s part of the fun!
What You’ll Bring
- A knack for organization and attention to detail (you’re the type who notices the little things)
- Great communication skills—professional, friendly, and clear
- Ability to juggle multiple projects without breaking a sweat
- Familiarity with Microsoft Office and Google Workspace (TOCK/Commerce7 is a bonus, but we’ll teach you if not)
- Experience in admin, hospitality, HR, or marketing is a plus—but enthusiasm and adaptability go a long way
- Love of wine and hospitality spirit (no prior wine knowledge needed, just curiosity!)
