TIME COMMITMENT
This is a full-time salaried position. In addition to standard office hours, the candidate must be available to work most weekends from April – mid November. Flexible time during December – March.
JOB DESCRIPTION
Acquaviva Winery is searching for a quality, attentive, and highly organized hospitality professional to join our team as a full-time wedding and event manager. Acquaviva Winery is an 85-acre estate vineyard and winery specializing in weddings and private events in the western suburbs of Chicago. As a family-owned and operated company, our mission is to provide outstanding service to our clients and guests. Our business is based on creating and delivering exceptional experiences by selecting the right people to join our team.
We are seeking a hard-working individual with extensive wedding and event venue experience to lead our event operations. As Event Manager you’ll be responsible for working directly with our clients to prepare for and execute their events. Responsibilities will include scheduling tours, conducting tours, negotiating contracts, planning the logistics of events, maintaining vendor relationships, creating media content, evaluating advertising programs, acting as point of contact for our wedding couples from the planning process through the final event, and more.
Essential Duties & Responsibilities
- Be an expert on all details regarding weddings & events at Acquaviva Winery
- Be the first point of contact for potential clients at Acquaviva Winery
- Ensure all client communications are responded to in an enthusiastic and timely manner
- Maintain Acquaviva’s event tour calendar, lead venue tours, coordinate client tastings and final details meetings
- Develop relationships with potential clients (non-wedding) for facility rental opportunities
- Assist with content creation to promote Acquaviva on all social media platforms
- Collaborate with our clients, vendors, and Acquaviva team members to successfully execute all events
- Work with our advertising partnerships to ensure we are benefiting from every opportunity
- Assist with day-of logistics planning from start to finish
- Provide prompt responses and unparalleled service throughout the planning process
- Follow up with clients and photographers post-event for client testimonials and photo releases
- Emphasize eagerness to please and be happy to assist
- Support management with various admin, venue, and event responsibilities
- Hire and train interns
- Prepare detailed wedding itinerary documents for venue staff to execute a successful event
- Be the on-site point of contact during weddings (shared responsibility with Event Leads)
- Confidently conduct wedding rehearsals, on-site ceremonies, and vendor run-throughs
- Proactively handle and troubleshoot any emerging problems on the event day
Qualifications & Requirements
- At least three years of management experience in the wedding, events, or hospitality industry required. Restaurant or venue experience in a demanding environment is strongly preferred
- Present a professional appearance and demeanor
- Excellent written and outstanding oral communication skills
- Highly organized, efficient, and detail oriented
- Excellent interpersonal/relationship skills
- Comfortable in the use of social media outlets including Facebook, Instagram, Twitter, and industry-specific mediums
- Proficient in the use of Microsoft Office Suite
- A strong sense of urgency; self-directed with the ability to problem solve with little direction
- Work well under pressure and multitask in a fast-paced environment
- Driven to learn and maintain in-depth knowledge of the wedding industry
- Coordinate logistics between multiple 3rd party vendors
- Ability to stand on feet for extended periods of time
- Positive outlook during potentially stressful circumstances
Job Type: Full-time
Pay: $60,000.00 - $85,000.00 per year
