An event Coordinator, or Event Specialist, is responsible for overseeing particular tasks throughout the event planning process. Their duties include meeting with clients and vendors at the Vineyard location to perform set-up, running the events successful completion.
Duties and Responsibilities
The duties and responsibilities of an Event Coordinator center on planning and managing events of varying sizes and purposes. Coordinators have to understand what it takes to make sure the logistics work out, keep everything within the allocated budget and ensure that the event itself is carried out smoothly.
- Entering into event contracts and collecting payments on time.
- Remaining under budget with all costs.
- Managing events and addressing potential problems that may arise.
- Planning for potential scenarios that could impact the integrity of the event and handle them with grace and style.
- Maintaining a working knowledge of the complex needs of a wide variety of events.
- Event planning, design and production while managing all project delivery elements within time limits.
- Liaise with clients to identify their needs and to ensure customer satisfaction.
- Provide feedback and periodic report to stakeholders.
- Propose ideas to improve provided services and event quality.
- Organize facilities and manage all event's details such as décor, catering, entertainment, transportation, location, invitee list, special guests, equipment, etc.
- Ensure compliance with insurance, legal, health and safety obligations.
- Specify staff requirements and coordinate their activities.
- Cooperate with marketing and PR to promote and publicize events.
- Proactively handle any arising issues to troubleshoot any emerging problems on the event day.
- Conduct pre-and-post- event evaluations and report on outcomes.
- Research market, identify event opportunities and generate interest.
Requirements
- Proven experience as an Event Planner or Organizer.
- Impressive portfolio of previously managed events (weddings, meetings, parties, corporate events) .
- Excellent time management and communication skills.
- Sales skills and ability to build productive business relationships.
- Ability to manage multiple projects independently.
- MS Office proficiency.
- Willing to submit references from previous clients.
- BS in Event Management or related field.
- Experience conducting planning sessions and manage time lines for all operating areas and clients.
- Understanding of the Entertainment line of business.
- Experience with Group & Convention contract management.
- Proficient in DSCS and Siebel Systems.
Full Job Description
- Helps the clients by planning, identifying needs, and providing updates for all scheduled events.
- Secures, cleans, and serves wine in event venue.
- Ensures supply of event's merchandise.
- Prepares financial report on events with the transaction coordinator.
- Liaises with the marketing team to utilize the best marketing strategy for an event with regard to the purpose and venue of the event, as well as its budget.
- Ensures the cleanliness of restroom facilities at the venue of an event.
- Schedule and maintain the CEO's daily calendar, events, and hostings.
- Contract existing leads and secure new clients, answer all phone calls, and emails promptly.
