King Estate, Oregon’s leading family-owned winery, is looking for a highly detailed and experienced Wine Club and DtC Coordinator. The ideal candidate will have excellent customer service skills, strong organizational abilities, and the capacity to work collaboratively with others. The Wine Club and DtC Coordinator will assist with customer service and fulfillment of wine club subscriptions, inbound direct sales, promote wine sales, and reconcile shipping and inventory according to established deadlines. The position requires gracious and efficient communication skills with customers as well as detailed reporting within the company.
Essential Job Functions:
-Plan and coordinate wine club shipments with annual wine projections, email notifications, special requests, staging, processing, reconciling declines and club inventory;
-Database management for wine club, including new customer entry, changes to account information, updating invalid credit cards and account information, cancellations, and will-call pickups;
-Process daily phone, text and email orders along with responding to customer inquiries within 24 hours of receipt in all applicable mailboxes;
-Complete monthly club reports and forward club data to upper management as necessary;
-Assist DTC Manager in the execution of and also attend any and all events;
-Develop draft copy for wine club emails, correspondence, invitations, etc.;
-Provide elevated experience for all guests when in the tasting room. Greet wine club members whenever possible; and support scheduled sales staff as necessary;
-Acquire and utilize knowledge of tasting room policies and procedures including, but not limited to: opening/closing and reporting;
-Shipping Logistics- Ensure sufficient wine is staged for fulfillment and at retail locations for tasting room sales, coordinating weekly transfers if necessary. Maintain and follow-up on order issues with customers and shippers;
-Fulfillment- Pack, maintain and reconcile all pick up order inventory;
-Maintain inventory and wine club allocation in winery sales system and database with high degree of accuracy;
-Maintain allocations on monthly QOH report;
-Prepare various inventory related reports as needed;Other duties as assigned
Competencies/Qualifications:
-Minimum of one year of experience in a winery/tasting room with similar responsibilities;
-First-hand knowledge, appreciation, and passion for wine and wine-related topics, with an interest to further expand knowledge in these areas;
-Available weekends and holidays as required, and extended hours when needed
-21 years of age or older;
-Current OLCC or ability to acquire it within 30 days; Current Food Handler certification or ability to acquire it within 30 days
-Must have strong verbal and written communication skills with the ability to speak in front of people;
-Retail sales and customer service experience: ability to present product, up-sell & cross-sell. Able to proactively ask for and close the sale;
-Exceptional guest service skills;
-Able to work independently as well as part of a cohesive and driven team;
-Able to understand and follow instructions, and ask questions when needed. Able to effectively analyze information, problem solve and make sound decisions/recommendations based on same.
Physical Requirements:
-Must be able to lift 50 pounds repeatedly -Must be able to sit or stand for extended periods of time. -Exposed to indoor/outdoor environments -Must be able to work, evenings and/or weekends
