JOB SUMMARY
Reporting to the Plant Manager, the Administrative Services Manager oversees administrative functions within the operations department, ensuring compliance with company policies and procedures. This role manages multiple direct reports and is responsible for timekeeping, attendance, meal and rest break reprimands, workforce trend tracking, providing clerical and administrative support to the winery operation by greeting Customer/visitors, answering phone, weighing trucks, generating, and tracking purchase orders, budgeting and record keeping. Interface with Accounts Payable, Human Resources, and Operations to maintain and ensure compliance with site regulatory requirements are met.
ESSENTIAL FUNCTIONS
- The Administrative Services Manager must exhibit strong managerial and leadership skills. Also, the ability to interact with the employees while continuing to build a cohesive team and develop individual potential within the Team Members.
- Timekeeping and Attendance Management: Oversee and manage all timekeeping violations, attendance violations, meal, and rest break violations for entire site.
- Cross-Functional Collaboration: Collaborate with site leadership across cellar, winemaking, maintenance, and HR to ensure effective operations.
- Dayforce Management: Oversee the process of timeclock approvals and responsible for execution of end-to-end weekly scheduling within department.
- Employee Engagement: Assist in initiatives such as Cheers! employee events, site-wide events, TWG Cares, and employee incentives.
- Supervision: Supervise and develop operations administrative and seasonal front office employees.
- Crush Function: Oversee Sugar Test Stand, Oversee daily WGI reports.
- Must be able to interact and effectively communicate with all personnel, vendors, contractors, and peers in a team environment.
- Responsible for creating purchase orders and receiving of purchased material, stocking, issuing, and locating inventory utilizing JDE, excel and other systems.
- Ensure all purchase orders have appropriate documentation, packing slip and receiving receipt, COA.
- Must be able to work independently with minimal direct supervision.
OTHER FUNCTIONS
- Greet incoming deliveries and communicate/deliver to appropriate location.
- Correspond and/or communicate with Export customer’s proof of delivery.
- Oversite on Export Documentation.
- Assist site with Intelex updates/doc uploading.
- Ability to price items if needed with vendors and to re-negotiate existing items for additional savings.
- Follow up on all open purchase orders, verify shipments.
- Correspond and/or communicate with A/P and vendors to correct or modify invoices and vendors issues.
- Establishes and maintains department cost effective goals.
- Perform safety and/or environmental inspections as assigned.
- Support and model all company procedures and policies.

QUALIFICATIONS
- High school diploma or GED equivalent is required.
- 7+ years’ experience providing high levels of supervisory administrative support ideally in a winery or production environment.
- Must have a valid California Driver’s License and be able to drive for the organization.
- Must have a well-developed attention to detail, including ability to keep accurate records.
- Excellent computer skills, Excel, Microsoft Word, etc.
- Must be able to read, write and speak English, comprehend, and carry out verbal and written instructions.
- Possess excellent verbal & written communication skills in English.
- Must be able to pass all applicable testing.
- Must pass a pre-employment physical and drug screen.

PHYSICAL DEMANDS
- Possess the ability to work in a fast-paced production environment.
- Working environment may be both indoors and outdoors, with exposure to related equipment and noise levels.
- Ability to perform tasks requiring bending, stooping, standing, and twisting.
- Must be able to lift and carry weights of up to 50 pounds at varying frequencies.
COMPENSATION
- Hiring Salary Range Posted: $81,800 - $122,800.
- Actual compensation will be based on factors such as experience; skills, knowledge, and abilities; education; and other position related factors.
