Job Title: Grant Accountant, International Marketing

Reports to: V.P. International Marketing

Summary of Position

Manage financial reporting, grant compliance, program accounting, and revenue for the California Wine Export Program. Process invoices, reimbursement claims, generate invoices and monitor income related to federally funded export assistance programs such as the Market Access Program (MAP), Emerging Markets Program and the Regional Agricultural Promotion Program (RAPP) program, among others. The objective of these programs is to generically promote California wineries and their products internationally. The annual program budget is approximately $15 million and includes a combination of member dues revenue, program participation fees, and federal grant income. The Grant Accountant position provides an essential link between the internal finance and accounting team, external compliance consultants, federal government agency contacts and a team of international contractors. This role must work seamlessly with both internal and external teams. Consequently, strong communication, efficiency, and teamwork are important aspects to this role. The Grant Accountant is also responsible for helping to develop reporting and financial management tools and finding ways to streamline and improve processes to gain efficiency while maintaining high standards of accuracy.

Location and Work Hours

This is a 100% remote position — applicants may reside anywhere, and do not need to live in California. The role requires a 7-hour workday, with at least 4 hours overlapping with the Pacific Time (PST) workday. Candidates must also be available for virtual meetings as needed.

Salary Range

$80,000–$95,000 annually, depending on experience and location.

Principal Duties and Responsibilities

Develop and manage reporting and accounting processes for California Wine Export Program within the context of Wine Institute’s accounting structure and organization.
Serve as the primary financial point of contact for the International Marketing team, providing daily support for accounting questions, grant compliance, and financial data requests.
Participate in program discussions to evaluate the financial implications of planned activities and forecast future funding needs.
Provide the Controller with cash outflow forecasts ahead of pay runs to support financial planning and liquidity management
Ensure that all processed invoices relate to activities specified in Wine Institute’s annual marketing plan, have adequate supporting documentation, and are eligible under the program’s regulations. Work closely with external partners to oversee the coding process and ensure a high level of accuracy, efficiency, and expediency in the coding and documentation process.
Contact international representatives and agencies for additional documentation and/or clarification on invoices as needed. Work closely with external partners to ensure timely turnaround of documentation requests.
Verify, code, and input invoices into Wine Institute’s accounts payable database.
Submit expense claims to the government to secure reimbursement of program expenses adhering to approved timelines.
Reconcile Wine Institute account balances to government accounting reports and the domestic Wine Institute department budget.
Track program income and provide updates to department staff and international offices. Insure that income accounts are reconciled regularly and all account payables are received in a timely manner. Communicate regularly with internal and external stakeholders regarding outstanding items.
Research and resolve issues/questions related to payment of invoices and receivables. Work with internal and external stakeholders to resolve and reconcile outstanding items.
Work closely with external partners to maintain file of submitted claims for USDA Foreign Agricultural Service and OMB audits. Ensure that all files meet compliance standards and records are complete.
Oversee financial and USDA program audits, including preparation of materials for review, and communications with USDA auditors. Oversee preparation for annual Wine Institute financial audit including preparation of materials and records, and communication with Wine Institute auditors
Develop monthly reporting and financial managements tools and reports. Work with external partners to ensure regular reconciliation and resolve outstanding issues. Identify opportunities to improve financial reporting and budgeting process.
Work closely with Wine Institute international reps on annual budget plans and management tools. Prepare regular reports and forecasts for accurate budget and grant management.
Assist with other projects as requested; including, but not limited to budget to actual analysis, reclassifications of deposits, and compliance with international tax regulations.

Education and Experience

· Bachelor’s degree or equivalent, preferably in accounting.

· Demonstrated work experience with high-level organizational, communication, and analytical skills comparable to this position.

· 3-5 years of relevant accounting experience, including processing AP/AR, GL transactions, internal controls, and month-end close.

· Experience reading grant regulations and analyzing transactions for grant compliance.

Preferred Skills and Experience

· Advanced experience with MIP Abila, MS Office, Google Suites, and grant management.

· Quick learner and self-starter with aptitude for process re-engineering, focusing on efficiencies.

· Comfortable researching grant regulations and spearheading process improvements.
