Position Summary

Blue Valley Vineyard and Winery is seeking an Event Support Coordinator to assist with client communications, event planning support, scheduling, and administrative coordination. This role helps ensure a smooth experience for guests, event hosts, and internal teams by providing exceptional service and organized support throughout the event lifecycle.

The ideal candidate is detail-oriented, customer-focused, and enjoys working in a fast-paced hospitality and events environment.

Responsibilities

Event Coordination Support

Assist with event inquiries and booking requests.
Coordinate scheduling of consultations, tours, and event-related meetings.
Maintain event calendars and planning timelines.
Help ensure event details are documented accurately.

Client Communication

Serve as a point of contact for prospective and existing clients.
Respond to inquiries regarding event services, venue offerings, and scheduling.
Provide updates and follow-up communications throughout the planning process.
Maintain professional and responsive communication.

Administrative Support

Enter and update event information within company systems.
Maintain client records, contracts, and supporting documentation.
Prepare reports, event summaries, and planning materials.
Support daily administrative operations as needed.

Guest Experience Support

Assist with coordinating guest requests and special accommodations.
Monitor client feedback and satisfaction.
Help resolve service concerns in a timely manner.
Support initiatives that enhance the overall guest experience.

Qualifications

Required

High school diploma or equivalent.
Minimum 1 year of experience in customer service, hospitality, event support, administrative services, retail, or office coordination.
Strong communication and interpersonal skills.
Excellent organizational and multitasking abilities.
Ability to work independently in a remote environment.
Proficiency with Microsoft Office and web-based applications.

Preferred

Experience in hospitality, tourism, events, catering, or guest services.
Scheduling or event coordination experience.
Experience with CRM, event management, or customer support software.
Previous remote work experience.
